Position Overview
The Administrative Assistant will play a crucial role in supporting the development of a program by managing various administrative tasks and ensuring smooth operations. This full-time contract role will involve coordinating financial reports, overseeing communications, assisting the Program Director with documentation and research, and facilitating meetings and events. The ideal candidate will demonstrate exceptional organizational skills and the ability to manage multiple priorities effectively.
Key Responsibilities
- Coordinate participant financial support.
- Prepare and format communications, including memos, emails, presentations, and reports.
- Manage and communicate deadlines, maintaining an updated list of deliverables.
- Oversee data collection and file management, compiling information for monthly reports.
- Utilize Microsoft Office Suite to create, edit, format, and proofread various documents.
- Leverage technology to enhance scheduling and communication processes.
- Maintain confidentiality in handling sensitive information and provide support for other departmental initiatives.
- Liaise with stakeholders, coordinating meetings and ensuring effective follow-up on action items.
- Assist the Director with drafting presentations, meeting notes, and conducting research.
- Help plan and execute events, managing logistics such as venue selection and catering.
Candidate Profile
The successful candidate will possess a combination of strong organizational abilities and communication skills. You should be proactive and adaptable, with a focus on delivering high-quality support in a fast-paced environment.
- Minimum of 2 years’ experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
- Excellent organizational skills with the ability to multitask and meet deadlines.
- Strong written and verbal communication skills with a keen attention to detail.
- Experience in budget monitoring, or event planning is an asset.
Salary & Benefits
The salary for this position is between $50,000 and $65,000, depending on experience. Additional benefits will be discussed during the interview process.
