Position Summary

The Benefits Administration Specialist is responsible for providing exceptional administrative support to Local 93 members, signatory employers, and the Local 93 administrative team. This position serves as a primary point of contact for benefit-related inquiries, ensuring members and employers receive accurate, timely, and professional service.

In addition to benefits administration, this role provides general administrative support to the Local 93 office and contributes to the efficient day-to-day operations of the organization.

The successful candidate will be bilingual in English and French, possess excellent organizational and communication skills, and demonstrate the ability to manage confidential information with professionalism, discretion, and integrity.


Key Responsibilities

Benefits Administration:

  • Respond to member inquiries regarding benefit eligibility, coverage, claims, and general plan information by phone and email in both English and French.
  • Assist signatory employers and payroll departments with the completion and submission of monthly remittance reports.
  • Review, process, scan, and maintain contractor documentation and member benefit records.
  • Work closely with the Business Representative to monitor employer remittances, delinquencies, and account status.
  • Maintain accurate records of member and employer communications, correspondence, and case notes.
  • Ensure all member and employer information is handled with strict confidentiality and in accordance with organizational policies and privacy requirements.
  • Provide prompt, professional, and courteous customer service while resolving inquiries efficiently.
  • Liaise with benefit providers and third-party administrators as required to assist with member and employer inquiries.

Local 93 Administrative Support:

In addition to benefits administration responsibilities, the successful candidate will:

  • Provide general administrative support for the Local 93 office.
  • Assist with daily office operations and administrative functions.
  • Support staff with special projects, reports, and organizational initiatives.
  • Prepare, organize, and maintain electronic and paper filing systems.
  • Process incoming correspondence and assist with document management.
  • Assist with meeting preparation, member communications, and office events.
  • Provide reception and telephone coverage as required.
  • Perform other administrative duties assigned to support the efficient operation of Local 93.

 

Qualifications

  • Bilingual (English and French) with excellent verbal and written communication skills.
  • Exceptional customer service and interpersonal skills.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Teams) and comfortable learning new software systems.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong problem-solving skills and the ability to work independently as well as collaboratively within a team.
  • Previous experience in benefits administration, payroll, union administration, human resources, or a related administrative role is considered an asset.
